OVERVIEW OF THE FUNCTIONS OF THE POST

The World Water Assessment Programme (WWAP) is a UNESCO Programme World Water Assessment Programme (unesco.org) that seeks to equip water managers and key decision-makers with the information, data, tools and skills to effectively participate in the development of policies to improve the supply and quality of global freshwater resources. The principal objective of the Programme is to assess and report on the state, use and management of the world’s freshwater resources and the demands on these resources, define critical problems and assess the ability of nations to cope with water‐related stress and conflict. Its primary product is the World Water Development Report, UN-Water flagship annual report on water resources related-issues, which is produced every year on a different topic. To comply with the important UNESCO priority of gender equality, since 2014 WWAP has been working on gender-sensitive water assessments, monitoring and reporting, through the creation  of the WWAP Gender Toolkit for sex-disaggregated data that includes methodology, key indicators, guidelines and field questionnaires (Water and Gender (unesco.org)

The incumbent will work under the overall  and direct supervision of the WWAP Coordinator. The Publications Assistant is requested to follow the production process and the flow of publication activities, of the forthcoming WWAP publications, to ensure the implementation of WWAP extra-budgetary programme and projects.

Long Description

In particular, the incumbent will:

  • Contribute in formulating/updating objectives, strategies and results‐ based budgeting for the WWAP Publishing Section ensuring alignment with WWAP mission and priorities and support WWAP during the submission of publications proposals to the UNESCO Publication Board.
  • Assist in editorial, prepress and production processes for all WWAP print and online publications, reprints and translations; including the phases of copyediting, proofreading, design, layout, photos and source file research (graphs/maps/tables).
  • Provide support to produce the WWAP publications, through adequate planning and monitoring of production schedules, ensuring compliance with UNESCO publications guidelines and related administrative procedures, coordinating publications-related contracts and ensuring design cohesiveness;
  • Assist in the selection, preparation and management of external contractors (editorial, translation, design and prepress, printing/USB Keys‐production);  Prepare, collate and archive publications-related documentation (contract, copyright permission forms, ISBN applications, verification of reference (bibliography), sources of maps, tables and graphs).
  • Monitor WWAP publications stock and reproduction requirements. Determining and communicating printing and USB keys‐production needs. Act as contact point for printers and assist in the shipment of material.

REQUIRED QUALIFICATIONS

EDUCATION

  • Completed secondary, technical and/or vocational school with qualification or certificate in publishing, communication, journalism or a related field.

WORK EXPERIENCE

  • At least five (5) years of progressive professional experience in administrative support in publishing. 

SKILLS/COMPETENCIES

  • Demonstrated ability to assist in the pulication production process effectively. 
  • Good understanding of editorial and pre-press processes and print production.
  • Excellent IT skills in MS Office (Outlook, Word, Excel, Power Point, etc.), including database management and data visualization. 
  • Ability to work effectively in a team and to maintain trust-based working relations in a multicultural team.
  • Ability to manage multiple tasks effectively and adjust priorities with close attention to detail and quality. 
  • Strong planning and organizational skills.

LANGUAGES

  • Excellent English (spoken and written).
  • Good knowledge of Italian (spoken and written).

DESIRABLE QUALIFICATIONS

EDUCATION

  • Certificate or training in administration, science, publishing or related field.

WORK EXPERIENCE

  • Relevant experience in the field of Publication Management in implementing publication work plans and tasks for the production of scientific reports. 
  • Relevant experience within an international environment.

SKILLS/COMPENTENCIES

  • Acquaintance with the rules, regulations, administrative procedures and standard practices of an International Organization.
  • Good knowledge and understanding of scientific topics in particular related to water resource management and water policies.

LANGUAGES

  • Knowledge of other official UNESCO languages (French, Arabic, Chinese, Russian or Spanish).
